POSITION ANNOUNCEMENT: Operations & Outreach Manager

Grammy-nominated early music ensemble Ars Lyrica Houston (ALH) is seeking Operations & Outreach Manager for its 2025-2026 season and beyond. Hire by date: 06/01/2025

Purpose: ALH Operations & Outreach Manager provides general administrative and concert operations services for all ALH performances, activities, and outreach programs; oversees the management of the office, and serves as key support staff to the Executive Director. Operations & Outreach Manager plays an integral role on the ALH team, works closely with and reports to the Executive Director. A centralized office with free parking is provided at 4807 San Felipe, Suite 202, Houston, TX 77056. Website: www.arslyricahouston.org.

Status: Full-time exempt employee, hybrid

  1. Primary Duties and Responsibilities include but are not limited to

Operational support for all programming and events

Artist Liaison

o   Communication: concert logistics, point of contact for any questions or concerns

o   Travel logistics and coordination: flights, rental cars, scheduling rides, taking care of people when they’re in town, reimbursements

o   Host placement and communication

o   Issue contracts, process payments and keep track of accounting

Office Management

o   Salesforce

o   Squarespace

o   Click&Pledge/Stripe/Square

Donor and patron relations

○      Process and track donations in Salesforce and Click&Pledge

○      Send donation acknowledgments and thank-you emails

○      Generate reports and manage software – Salesforce, Click&Pledge, Squarespace, Stripe

○      Manage in person and digital subscriptions and communication

○      Manage other store orders and communication - single event passes, tickets to non-Zilkha events, books, CD’s

○      Process comps and special requests, communicate with HC staff as needed

Concerts

○      Set up, manage, and tear down lobby items - concert table, banner, posters, etc.  

○      Coordinate schedules and materials with backstage team, surtitles operator, and videographer as needed

Outreach

●      Outreach lead

o   Schedule and communicate with artists from start to finish: availability to send payment promptly after program

o   Schedule and communicate with venues from start to finish: scheduling, pricing, technology and equipment needs, invoicing and payments

o   Representative of ALH outreach partners

o   Troubleshoot and attend performances as needed

●      Outreach program production and performance

o   Develop and produce new programs segments (i.e. workshops) and perform as needed

o   Update outreach webpages and print materials

o   Manage production of in-person and virtual programs from scheduling to delivery of assets

o   Create and publish survey for each education program and track results

o   Maintain a master document with schedule, payments, and impact

Outreach development

●      Research new outreach opportunities

●      Assist in researching outreach grants and track deadlines 

●      Draft grant narratives for outreach

●      Submit outreach grant applications and track win/lose status

●      Contact donors, subscribers, patrons via email and phone to check in and update on new programs 

 2.     Job requirements

●      Bachelor’s Degree with a minimum of two years’ experience in arts administration/ education/non-profit organization/or related fields (classical music preferred)

●      Excellent interpersonal, written, and verbal communication skills

●      Strong problem solving and organizational skills; willingness to take initiative and to contribute in a fast-paced, team-oriented environment.

●      Ability to successfully prioritize and organize tasks and follow through to completion

●      Strong attention to detail

●      Ability to work under pressure with multiple deadlines

●      Proficient with Microsoft Office, Word, Excel, CRM

●      Availability during ALH events on selected weekends and evenings

●      Experience in working with non-profit arts organizations a plus

●      Interest, knowledge, and enthusiasm for classical music a plus

3.  Compensation and Benefits

●      The compensation will range between $45,000 -$50,000, depending on experience. 

●      Operations & Outreach Manager will also receive a Health Reimbursement Arrangement up to 5,000 per calendar year, a contribution to the retirement account,  and PTO days.

●      ALH offers flexible work schedules with prior arrangement with the Executive Director.

●      The position is full time (40 hours per week on average). Operations & Outreach Manager shall be responsible for monitoring her own working time.
